Lead Times

Fast to quote, slow to release

Two different clocks run on a Japan FIT booking, and confusing them is how agents lose clients. The first is how quickly we can respond: a single service, a FIT itinerary or a small-group booking can be quoted and taken on 24 to 48 hours notice. A transfer, a guide day, a rail booking or a three-night private itinerary does not need weeks.

The second clock is allocation, and it is far less forgiving. The named ryokan your client saw in a magazine, the chef counter with eight seats, a room with a private open-air bath in cherry-blossom week - these are released months ahead and gone almost immediately. No amount of turnaround speed recovers them.

So: come to us late for the logistics and we will still deliver. Come to us late for a specific house in a peak window and we will tell you honestly that it has gone, and propose something we can actually hold rather than chasing a booking that will not confirm.

Ryokan

The details that decide whether it works

A ryokan night is the part of a Japan itinerary clients remember, and the part most likely to go wrong when booked from abroad. Three things need settling at contracting stage rather than on arrival.

Tattoos. Many onsen still refuse entry to guests with visible tattoos. If your client has them, the answer is either a house with private in-room baths or one with a stated policy - not a hope that nobody looks. We place accordingly and tell you which it is.

Dining. Ryokan rates almost always include kaiseki dinner and breakfast, served at fixed times, in a set sequence the kitchen has planned around. A vegetarian, vegan, Jain or halal requirement is not a substitution here - it changes whether the house can take the booking at all. Luggage. Tatami rooms, narrow stairs and no lift are the norm in the good small houses. We forward main luggage ahead so the client arrives with an overnight bag - see ground handling.

We are B2B only and we do not sell direct. Quotations are net and non-commissionable, itemised by service so you can see what you are marking up and defend the price if your client asks. Documents go out under your name. Your client does not learn ours.

The first quotation is complimentary, returned within 24 hours and held valid for four days. Settlement terms are published in full on payment & settlement rather than negotiated case by case, and our entity and credentials are on the services overview if your client's procurement team wants to verify who is actually operating.

What to send in the brief

Travel dates, number of travellers and their relationship to each other, budget band per night, guide language, any dietary or accessibility requirements, and anything the client has already fixed on - a specific ryokan, a restaurant, a festival date. If the trip is still shapeless, send the client profile and the number of nights and we will propose a routing.

What does "luxury FIT" cover?

Fully independent travel for private clients: luxury hotels and ryokan, private guides and drivers, chef-table and kaiseki dining, and access arrangements that are not on the open market - quoted net to your agency and operated under your brand.

Can you access ryokan that are not on booking platforms?

Yes. We contract directly with houses across the price ladder, including small properties that never appear on OTAs, and we hold B2B allocations for peak cherry-blossom and autumn windows.

How are quotes structured?

Net and non-commissionable, itemised by service, valid 4 days from issue. First quotation is complimentary with a 24-hour turnaround.

What is your minimum lead time for FIT?

Single services, FIT and small-group bookings can be taken on 24 to 48 hours notice. That covers transfers, a guide day, a rail booking or a short private itinerary. Peak-season ryokan and the marquee dining rooms are a separate question - those are allocation-limited and go months ahead regardless of how fast we can quote.

Which languages can clients be guided in?

English, German and Spanish. English is available nationwide and at short notice; German and Spanish come from a much smaller pool of nationally licensed guides, so request the language with the enquiry rather than after the client confirms.

Do you contact our client directly?

Never. We are B2B only. The itinerary is delivered under your brand, documents carry your name, and your client does not learn ours unless you choose to tell them.
