How Our Japan DMC Payment Terms Work: An Agent's Guide

Every agent has been burned by a ground partner whose money terms appeared only after the deposit did. Ours are published on every market page, and this guide walks through the whole sequence once, properly — what each stage is for, when each date falls, and how to plan an agency’s own cash flow and client terms around them.

The timeline at a glance

A complimentary first quotation comes back within 24 hours of the brief and stays valid for 4 days. Confirming it takes a USD 100 contract fee, which is credited in full against the final invoice. A 30% deposit is then due within 3 working days of confirmation, and the balance falls due 45 days before departure. That is the entire structure — four dates, no surprises hiding in an annex.

Why a contract fee at all

The USD 100 fee does one job: it separates a live booking from a browsing exercise at the moment inventory has to be held. Because it is credited in full against the final invoice, a client who travels pays nothing extra for it — but from the second it lands, rooms, guides and vehicles are being committed on real dates. It is the smallest possible amount of money that lets both sides act as if the booking is real, because it is.

The 45-day line

The balance date is not arbitrary: 45 days before departure is where Japanese supplier commitments harden, and it is also where our published cancellation bands pivot. Cancellations 45 days or more before departure are charged at 20%; from 44 down to 22 days the charge is 50%; and inside 21 days it is 100%, because by then every service on the file is contractually ours to pay whether the client flies or not. The bands exist so an agent can read the risk on any calendar day of the booking’s life — and they belong in the quote your client signs, not discovered afterwards.

Plan it backwards, and mirror it downstream

The professional move is to map every booking backwards from departure — balance at day 45, deposit inside 3 working days of confirmation, quote validity of 4 days — and then set the agency’s own client-facing deadlines a few days earlier at each step, so the agency is never fronting supplier money it has not yet collected. For group series, one more term belongs in the same first conversation: the free-of-charge ratio, one FOC place per 20 paying (two per 40), agreed before the group price is built rather than negotiated after. The reasoning is the same one behind the vetting guide: terms that are published and fixed are terms nobody can move mid-booking.

The dates to diarise on every file

  • Quote received — valid for 4 days, so the client decision has a real deadline
  • Confirmation — USD 100 contract fee paid, credited in full at final invoice
  • Confirmation + 3 working days — 30% deposit due
  • Departure minus 45 days — balance due, and the 20% cancellation band ends
  • Departure minus 21 days — the 100% band begins; all changes before this line
